CCIS Travel Privacy Policy 2026 Effective Date: [Aug 10, 2026]
Complete Custom Itinerary Service, Inc. d/b/a CCIS Travel (“CCIS,” “we,” “our,” or “us”) provides the CCIS OTR mobile application (“CCIS OTR” or the “App”) to help CCIS trip passengers, group leaders, and CCIS operations staff access trip information, communicate trip-related updates, submit trip photos for review, and, when authorized, share trip location information while traveling.
Information We Collect CCIS OTR may collect or process the following information:
· Passenger name entered at login
· Trip code entered at login
· Trip role and package information from the trip rooming list, such as passenger, adult package, student package, VIP, bus leader, or main group leader
· Final itinerary and trip file information from CCIS Dropbox folders
· Location information when an authorized group leader or bus leader turns on “On The Road” location sharing
· Messages sent through the App between passengers and group leaders
· Push notification tokens used to deliver trip-related notifications
· Photos submitted through the App for CCIS review
· Basic technical information needed to operate the App, such as server request logs, timestamps, and error information
The App does not request access to a passenger’s contacts, calendar, microphone, financial information, or advertising identifier for tracking.
How App Access Works Passengers access trip information by entering their passenger name and trip code. The App checks that information against CCIS trip files, including the trip rooming list, to determine whether the person is listed for that trip and what App features are available to them. Different roles may see different features. For example, most passengers may access the final itinerary, submit photos, follow CCIS social media links, and send a message to the group leader. Authorized group leaders or bus leaders may also have access to location sharing and group notification tools. CCIS operations staff may access an operations dashboard using approved operations names and an internal operations code.
How We Use Information We use information collected through CCIS OTR to:
· Verify that a passenger is associated with a trip
· Load the correct trip information and final itinerary
· Display role-appropriate App features
· Allow authorized group leaders or bus leaders to share trip location while “On The Road”
· Allow CCIS operations staff to view active trip locations on an operations map
· Send trip-related push notifications
· Allow passengers to message their group leader
· Allow group leaders to send trip updates to passengers
· Allow passengers to submit trip photos to CCIS for review
· Maintain security, troubleshoot issues, and improve App reliability
We do not sell passenger data. We do not use App data for third-party advertising or cross-app tracking.
Trip Codes and Passenger Names Trip codes are used to identify the correct CCIS trip folder and trip records. Passenger names are used to match the person logging in against the rooming list for that trip. These checks help prevent access to unrelated trip information. Because trip codes and names may be known by members of a travel group, CCIS may add additional verification steps for group leaders, bus leaders, or other users with elevated permissions.
Location Sharing Location sharing is available only to authorized group leaders, bus leaders, or other approved trip roles. Location sharing begins only when an authorized user turns on the “On The Road” feature. Location sharing is intended to help CCIS operations monitor group travel progress while a group is en-route. Location sharing stops when the authorized user marks the trip or bus as home/off the road. CCIS does not use this feature to track all passengers. CCIS does not use location data for advertising.
Photos Submitted to CCIS Passengers may submit trip photos through the App for CCIS review. Submitted photos are made available to approved CCIS operations staff for review, saving, sharing, or posting at CCIS’s discretion. Photos are stored temporarily on the CCIS OTR server while pending review. Once a submitted photo is marked completed by operations, the image file is deleted from the server. CCIS may retain a limited audit record showing the trip, submitter name, submission time, completion time, and staff member who completed the review.
Submitting a photo through the App does not guarantee that CCIS will post or use the photo.
Messages and Notifications The App may support trip-related messages and notifications, including:
· Passenger messages to the main group leader
· Group leader messages to all passengers, adult package passengers, student package passengers, or other supported groups
· Operations notifications related to trip photos or active trips
Messages are used for trip operations and safety-related communication. They are not intended for emergency services. In an emergency, passengers and group leaders should call the
appropriate emergency contact or local emergency services.
Third-Party Services CCIS OTR uses third-party services to operate the App, including:

App Store and Google Play CCIS OTR may be distributed through the Apple App Store, Apple TestFlight, Google Play, or related app testing and distribution platforms. These platforms may collect information according to their own privacy policies and developer requirements. The App may use device services provided by Apple or Google, such as location permissions, camera/photo permissions, maps, push notifications, crash reporting, and app distribution tools. Users may manage these permissions in their device settings. Some App features may not work if permissions are disabled.

CCIS does not knowingly use student passenger data for advertising or tracking.
Data Security CCIS uses reasonable administrative, technical, and organizational safeguards to protect App data. No system can be guaranteed to be completely secure, but CCIS limits access to App data to authorized personnel and service providers who need access for trip operations, support, and security.

· Stop location sharing by marking the trip or bus as home/off the road, if authorized
